Minimum requirements for organising a general assembly

OFFICIAL INVITATIONS

Read the EMU statutes.
Consult with EMU General Secretary.
INVITATION AND COSTS

The host country covers the costs of the accommodation and subsistence expenses during the General Assembly of one representative per country. A second participant per country – or more participants if the host is able to arrange it – is welcome, on condition they cover their own costs.
The length of stay should be at minimum 3 nights. This depends on the official programme agreed with the presidium.
ARRIVALS

Clear directions are needed for those coming by plane, by train or by private car.
Transportation can be also organized by the host.
ACCOMMODATION

Hotel standard minimum three stars.
MEALS

If lunch and dinner are organized somewhere else than in the hotel, transportation must be provided.
All the participants preferably in separate room to provide for a private occasion.
MEETING ROOMS

Try to avoid distances.
Ideally in the same building where the accommodation is arranged.
Enough rooms for group working.
LANGUAGES

Simultaneous translation into three official languages during at least one day, plus possibly into the domestic language.
Any problems should be discussed beforehand with the President.
MUSIC PROGRAMME

Would be nice to have some music performance alongside the official agenda.
Ideally to be performed by the pupils of the local association.
Please try to coordinate the length of performances with that of the pauses.
TOURIST PROGRAMME

Possible tourist programme can be arranged alongside the official programme; excursions, concerts etc.
Tourist part can be charged extra if previously indicated in the invitation.
DEPARTURES

If transportation is not organized by the host, clear directions on how to reach the train station or the airport must be provided.
